The Swedish Institute is very grateful to have alumni all over the world that help us spread the word about Sweden and Swedish higher education. No one knows better what it’s like to study in Sweden as an international student than alumni who have gone through it all themselves.
About
This toolkit is specifically designed for alumni networks that plan to hold a promotional event for studies in Sweden. It includes a step-by-step guide, presentations about SI scholarships and information about Swedish higher education and the Swedish admissions system.
The target group for this event is people who are interested in studying in Sweden, but have not yet applied to a Swedish university or for a Swedish Institute scholarship. When organising this type of event it is important that you do not claim to officially represent Sweden or the Swedish Institute.
Below you’ll find presentations about the different scholarships that SI offers. Please note that the presentations are not allowed to be edited. We suggest that you use them in addition to your own presentations about your personal experiences.
We encourage you to hold this event in dialogue with the Swedish Embassy in your country as they have trained staff on how to hold events of this kind.

About Swedish Institute Scholarships for Global Professionals – Short film
Step by step manual
- Decide on a date and time to hold your activity. Our suggestion is to hold the event in late fall, just in time for preparations for scholarship and university programme applications.
- Reach out to the Swedish embassy to let them know about your plans. For this specific event it is extra important that you have a dialogue with the embassy as they also organise events to market studies in Sweden so that your events do not overlap. We also strongly recommend having someone from the embassy join your activity as they have updated information about application procedures etc.
- Ask the embassy for printed materials such as flyers to hand out and a pre-printed roll up and other “goodies” to frame your event. Note that the Swedish Institute unfortunately cannot ship anything to you.
- Find a suitable venue depending on how many guests you expect. Maybe the embassy can host your event? Otherwise a room at a university can be a good idea if you are targeting students.
- Read through the presentations and material in the toolkit. If you want to talk about scholarships it is super important that you use the presentations provided as scholarship programmess change from year to year.
- Find some alumni from your network that can talk about their own personal experience of their studies in Sweden.
- Check with the embassy to see if they have any materials (leaflets with information about
Sweden, flyers, decorations) that you can use at you event. If not, reach out to alumni@si.se
and ask if some can be sent (this has to be done at least five weeks in advance) - Create a page for your event so that people can register. We suggest you use
confetti.events or a similar service but it can be a facebook event or google forms or any other service that you find suitable. - Post your event in the Sweden Alumni Activity Calendar.
- Consider organizing some sort of fika or snacks to have available to make the event more social.
- Draft a programme for your event. There is an example of a program in the building blocks in the toolkit. It is very important that you promote Swedish higher education and Swedish universities in general, not a single or a few universities. Therefore, your alumni speakers must represent different universities. Otherwise SI is not allowed to finance the event.
- Reach out to potential students.
- Make sure you read the “Code of Conduct” that you can download in the toolkit.
- Have your activity!
- Send in the report to SI, not more than two weeks after the event.
